# Managing crews

# Managing crews

Crew on the call sheet are the people you are calling for that shoot day (camera, grip, sound, etc.). You add them from the **Crew Grid**, assign a department and optional call time, and set a **universal crew call** so everyone gets the same call time unless you override it per person.

## Where to manage crew

Open a call sheet ( **Production** → **Call Sheets** → select a day and open the call sheet). The **Crew** section lists each crew member with department, call time, and optional notes. Use **Add crew** (or **Crew Grid**) to open the modal where you pick people to add.

## Adding crew from the Crew Grid

1. On the call sheet, click **Add crew** or open the **Crew Grid** (the button that opens the crew modal).
2. In the modal, pick people from your **project contacts** or add a new contact (name, email, phone) and add them to the call sheet in one step.
3. Select department (e.g. Camera, Grip, Sound) and optionally a role or notes.
4. Add them. They appear in the Crew section on the call sheet.

Crew members are stored at the project level in the **Address Book**, so you can reuse them on future call sheets.

## Crew Call times box

The **Crew Call** box at the top of the call sheet shows the key times for the day: Crew Call, Shoot Call, Breakfast, and Lunch by default. You can customize which times appear to match your production's schedule.

**To remove a time row:** hover over any row in the Crew Call box (except Crew Call, which is always shown) and click the small **×** that appears on the left side of the row.

**To add a time row:** click **+ Add call time** at the bottom of the box and choose from the available options: Shoot Call, Breakfast, Lunch, Dinner, or Talent Call. The option only appears when there is at least one hidden row available to add.

Click any time value to edit it inline. Your customization is saved to that call sheet and carries through to the exported PDF.

## Universal crew call time

Set **Crew call** (or **Universal crew call**) at the top of the call sheet so every crew member gets that call time by default. You can override the call time for individual crew members in the Crew table (e.g. earlier call for makeup or transport). Clearing the universal call time does not remove per-person times you set.

## Editing crew on the call sheet

In the Crew section you can change a crew member’s **call time** (or clear it), **department**, or remove them from the call sheet. Changes save when you leave the field or click Save. Removing someone from the call sheet does not delete them from the Address Book.

## Reordering crew within a department

Crew print on the call sheet and PDF in the order they appear in each department card, so you can put heads of department first.

1. In the **Crew** section, hover over a crew row. A grip icon appears on the left.
2. Drag the row by the grip icon to a new spot in the department list.
3. Drop it. The order saves immediately and carries through to the exported PDF.

Reordering works within a department. To move someone to a different department, edit their department instead.

## Sending and recipients

When you **Send Call Sheet**, everyone on the Crew list who has an email address receives the call sheet. Crew recipients can open the view link and (on Supporter) **clock in and out** from that link; times feed the DPR. See [View link, opened, and confirmations](/view-opened-confirmations).
