Managing cast

Talent on the call sheet are the characters (and their cast/actors) scheduled for that shoot day. They are pulled from the schedule: when you create or Resync a call sheet, the characters in the scenes scheduled for that day appear in the Talent section. You then add or edit cast (name, email, phone) so the right people receive the call sheet and see their call times.

Cast ID numbers

Every character has a Cast ID, the numbered badge shown in the breakdown table, stripboard, and call sheet. By default, IDs are assigned in order of appearance in the screenplay: the first character detected gets 1, the second gets 2, and so on. To set a custom Cast ID:
  1. Go to Breakdown and click any Cast ID badge to open that character’s board.
  2. In the board header, find the Cast ID field next to the character name.
  3. Click the number (or Set ID…) to open the stepper control.
  4. Use the and + buttons (or the down and up arrow keys) to step to the number you want, then click away or press Enter to save. Press Escape to cancel without saving.
The change takes effect everywhere immediately. The breakdown table, stripboard, and call sheet all reflect the new ID without any extra steps. No duplicates are possible: The stepper automatically skips any IDs already assigned to other characters, so you can only land on available numbers. Auto-numbering adjusts around custom IDs: Characters without a custom Cast ID are numbered automatically. When you assign an explicit ID to a character, the auto-numbered characters fill in around it, skipping any numbers already taken. For example, if you assign Cast ID 3 to one character, the remaining auto-numbered characters get IDs that skip 3 and continue from there.

Where talent comes from

Talent on the call sheet comes from characters in the scenes scheduled for that day. If you Resync Call Sheet, the app repopulates the talent list from the current schedule so it matches the stripboard. Characters are listed with columns such as ID, NAME, ROLE, STATUS, CALL, ON SET, WRAP.

Adding cast (name, email, phone)

When a character has no cast member yet, the NAME cell shows Click to add cast…. Click it to open an inline form and enter the actor’s name, email, and phone. Save. That creates (or links) a Cast Member for the character and fills the NAME cell. The same cast member is used on the character’s board and for future call sheets when that character is scheduled. You can also assign cast from the character’s board (Breakdown → Elements → Cast Members → character → Cast Member card). Once cast is set there, the call sheet shows the name and you can edit call times on the call sheet.

Call times for talent

Set Call, On set, and Wrap times per character on the call sheet. These can be suggested from the schedule (first and last scene times for that character). Edit them inline as needed. Talent call times appear in the call sheet PDF and in the email they receive.

Linking to the character board

When cast is assigned, the character name (ROLE) and actor name (NAME) often link to that character’s board. Use the board to change cast, add notes, or update contact details; the call sheet will reflect the linked cast member.

Background talent (extras)

Background Talent is a separate section listing extras from the breakdown (items in the Extras category) for scenes scheduled that day. Contact details for extras can be managed on the extras item’s board; they sync to project contacts. Extras do not get the same call/on set/wrap columns as principal cast but can be included in distribution if they have email addresses in contacts.
