Managing props

The Props category lists every prop element tagged in your breakdown. Each prop has a board where you track specs, source, cost, and reference images. This same board structure applies to Set Dressing, Animals, Stunts, SFX, VFX, Special Equipment, Camera Notes, Sound Notes, and Other categories: they all use the same layout and card types, with the Specifications card adjusting to the relevant type.

Where to find props

In the project nav, click Breakdown, then Elements, then Props. The list shows each prop, which scenes it appears in, and a link to its board. Props are added by tagging script text in a scene’s breakdown page or by using Add Element and choosing the Props category. See Tagging elements in a script breakdown for the full tagging flow.

Prop boards

Each prop has a board for production notes and references. When you open a prop board for the first time, it includes two starter cards:
  • Cost / Budget — A note card for tracking estimated, actual, and paid amounts. See the budget section below.
  • Notes — A general notes card.
You can add more cards from the Add Card area on the board.

Adding a Specifications card

The Specifications card is the best way to record the physical details of a prop.
  1. Open a prop board.
  2. Click the Add Card area and choose Specifications.
  3. In the card form, choose the Prop specification type.
  4. Fill in the fields:
    • Dimensions — Width, height, and depth.
    • Weight
    • Material
    • Color
    • Condition — New, aged, hero prop, stunt version, etc.
    • Source — How it is being acquired: owned, rented, or fabricated.
    • Cost estimate — An approximate cost for this prop.
  5. Save the card.
The Specifications card stays on the board and is visible to any teammate with access to the project.

Other card types on prop boards

In addition to Specifications, you can add any standard card type to a prop board:
  • Image — Reference photos, concept art, or purchased item images.
  • Link — Vendor pages, purchase links, or research.
  • Note — Written description, sourcing notes, or continuity reminders.
  • Todo — A checklist for acquiring, aging, or preparing the prop. Assign items to a teammate and track progress.
  • Contact — Vendor or rental house contact information.

Tracking cost

To track a prop’s cost against the project budget, open the prop board and use the Cost / Budget note card to record estimated and actual amounts. For line-item cost tracking that syncs directly with the budget tool, see Line items and board sync and Budget.

Merging duplicate props

If the same prop was tagged under two slightly different names, you can merge them so all scene references point to one record. Open the Props list and use Merge Items. See Merging duplicate characters or locations for step-by-step instructions (the process is the same for items).

Other categories that work the same way

The following categories use the same board layout as Props. The Specifications card adjusts its fields to the category when you create one:
  • Set Dressing — Use the General or Prop spec type for dimensions, material, and source.
  • Animals — Use Notes and Todos for wrangler contact and training requirements.
  • Stunts — Use Notes, Todos, and Contacts for coordinator details and safety notes.
  • SFX / VFX — Use Notes and Specifications (General type) for technical requirements.
  • Special Equipment — Use Specifications (General type) for dimensions, weight, and rental source.
  • Camera Notes / Sound Notes — Use Note cards to attach camera or sound direction to specific scenes.
For Vehicles, the Specifications card has a dedicated Vehicle type with Make, Model, Year, and Plate fields. See Managing vehicles.
