Line items and board sync

Budget line items show estimated, actual, and paid amounts. You edit them on the budget page. Lines that come from the breakdown can stay linked to their source (an item, character, or location) so that the Cost card on the element’s board and the budget line stay in sync.

Editing line items

On the budget page, open a category to see its lines. For each line you can edit:
  • Name (description)
  • Unit (e.g. flat, daily, hourly, weekly, monthly) and Quantity
  • Rate (e.g. dollars per day or per hour)
  • Estimated and Actual amounts
  • Fringe (manual fringe amount or assignments to fringe types; see Fringe and export)
For cast lines (from characters), Use DOOD days (when available) fills quantity from the schedule’s days of work for that character, so estimated = quantity × rate from schedule data. Turn it on when you have an approved schedule and want the budget to reflect scheduled work days. For union shoots that pay through hold-days as well, use the character’s total days instead (last work day minus first work day, plus one). Board sync (Cost card)

Breakdown items (props, wardrobe, vehicles, etc.) can have a Cost card on their board. When a budget line is linked to that item (created by Pull from breakdown), the Cost card and the budget line sync:
  • Edit estimated or actual on the Cost card and the budget line updates.
  • Edit the same fields on the budget line and the Cost card updates.
  • Paid is transaction-based now, so paid values come from logged payments, not direct paid field edits.
So you can work from the board (e.g. while reviewing a prop) or from the budget page; both stay in sync. Character and location lines can also be linked; the source of name and rate is the Cast Member card or location details.

Managing payments on a line

Payments are handled on a dedicated page for each budget line.
  1. On the budget page, expand a line and click Manage payments.
  2. Review existing transactions at the top.
  3. Add a new transaction at the bottom with amount, date, and a required note.
  4. Edit or delete any transaction by expanding that transaction row.
  5. Attach files to any transaction when needed.
The Paid column on the budget is always the total of those transactions. Payable is estimated minus paid and can be negative when a line is overpaid.

Using @ mention for crew defaults

When you add or edit a line, type @ in the description to search crew contacts.
  • Selecting a contact fills the description with that contact name.
  • Rate and unit defaults are filled from that contact.
  • You can still manually set a different rate or unit before saving.

Unlinking a line

If you want to keep the budget line but stop syncing with the board (e.g. you renamed the element or no longer want changes on the board to affect the budget), unlink the line. The line stays in the budget with its current values but no longer updates from (or pushes to) the source. You can edit it manually from then on.

Excluding from totals and export

Categories and individual lines can be excluded from totals and from export (e.g. for internal-only lines or draft categories). Use the include/exclude toggle on the category or line as shown in the UI. Excluded lines are not counted in the budget total and can be omitted from PDF/CSV export.
