Managing vehicles

The Vehicles category lists every vehicle element tagged in your breakdown. Each vehicle has a board with a dedicated Vehicle Specifications card so you can record make, model, year, plate, and sourcing details in a consistent format.

Where to find vehicles

In the project nav, click Breakdown, then Elements, then Vehicles. The list shows each vehicle, which scenes it appears in, and a link to its board. Vehicles are added by tagging script text in a scene’s breakdown page or by using Add Element and choosing the Vehicles category. See Tagging elements in a script breakdown.

Vehicle boards

Each vehicle has a board for production notes and references. Starter cards added on first open:
  • Cost / Budget — A note card for tracking rental or purchase costs.
  • Notes — A general notes card.

Adding a Vehicle Specifications card

The Vehicle Specifications card captures the key details the transportation department needs.
  1. Open a vehicle board.
  2. Click Add Card and choose Specifications.
  3. Choose the Vehicle specification type.
  4. Fill in the fields:
    • Make — Manufacturer (e.g. Ford, Toyota, Chrysler).
    • Model — Model name (e.g. F-150, Camry, Town & Country).
    • Year
    • Color
    • Plate / ID — License plate or a production identifier if the plate is not yet known.
    • Owner / Rental source — Whether the vehicle is owned by production, rented from a company, or sourced from a picture car service.
    • Special requirements — Any requirements for the vehicle: stunt rigging, camera mounts, period-accurate modifications, specific cleanliness for close-ups.
  5. Save the card.

Other cards on vehicle boards

  • Image — Reference photos of the vehicle or the specific look required.
  • Link — Vendor pages, rental house listings, or research.
  • Note — Production notes, driver instructions, or continuity reminders.
  • Todo — Checklist for securing the vehicle, getting it to set, and returning it. Assign items to the transportation coordinator.
  • Contact — Rental house, owner, or transportation coordinator contact.

Tracking cost

Use the Cost / Budget note card to record estimated and actual rental or purchase amounts. For line-item cost tracking that syncs with the project budget, see Line items and board sync and Budget.

Merging duplicate vehicles

If the same vehicle was tagged under two slightly different labels, you can merge them so all scene references point to one record. Open the Vehicles list and use Merge Items.
